HEX Password Expiry Messages and Password Renewal
Note: This help article applies only to Hosted Exchange. If you are not sure which email service you use, you can find more information in the following article.
Hosted Exchange can automatically inform users that a mailbox password will expire soon and must be renewed. Such notifications are generated based on the password policy configured in EdgePilot.
Is the Message Legitimate?
A password expiry notification may be legitimate if you use an active Hosted Exchange licence and the message relates to your mailbox.
For security reasons, however, do not open any links in the email. Instead, sign in directly to the EdgePilot administration portal and change the password there.
Note: If you do not use an active Hosted Exchange licence or cannot clearly associate the message with your service, do not open any links it contains and do not reply to the message. If in doubt, contact Support.
Hosted Exchange Password Policy
Password expiry notifications are based on the password policy configured for your organisation.
By default, Hosted Exchange often has a validity period of 1,000 days configured. However, shorter periods may also be used depending on security requirements.
- 90 days
- 180 days
- 1,000 days
Individual password policies can also be defined for specific users.
Renew or Reset a User’s Password
The password of a Hosted Exchange user is managed by an administrator in EdgePilot user management.
To reset a password, you need:
- an EdgePilot user with administrator permissions
- the administrator user’s credentials
- access to the configured two-factor authentication (2FA)
Sign in to the EdgePilot administration portal:
- Sign in with your administrator user.
- Confirm the sign-in using the SMS code or authenticator app.
- Open Users.
- Open User Management.
- Select the required user.
- Enter a new password in the Change Password section.
- Check the password policies.
- Click Update User Details.
Important: Always use the EdgePilot administration portal directly to change passwords and not links from emails.
Test the New Password
After changing the password, test it directly using Outlook Web Access (OWA):
https://ch.exg7.exghost.com/owa/
If sign-in to OWA works, the password has been successfully applied on the server.
Update the Password on All Devices
After changing a password, the new password must be entered on all devices and in all applications.
- Outlook
- Apple Mail
- Thunderbird
- iPhone and iPad
- Android devices
- other email programs and applications with access to the mailbox
If the old password is still stored on a device, this may lead to repeated password prompts and sign-in problems.
No Access to the Administrator User or 2FA
If the EdgePilot administrator’s credentials are no longer known or access to the configured two-factor authentication is no longer available, you cannot reset the password yourself.
Note: In this case, contact Support.
Password Security Recommendation
Change passwords regularly and use secure, unique passwords.
If the password policy is adjusted and the security requirements are thereby reduced, this is done at your own responsibility.
