What Is the Hosted Exchange In-Place Archive?

The In-Place Archive is an additional archive mailbox within Hosted Exchange.

It is used to move older emails out of the primary mailbox, thereby freeing up storage space in the primary mailbox. The archive is provided as a separate archive mailbox and not merely as an additional folder within the existing mailbox.

The folder structure of the primary mailbox is retained. Archived emails are stored within the same folder structure in the archive mailbox.

According to the available information, the In-Place Archive has a fixed size of 50 GB. This storage space cannot be expanded.

Difference Between the Archive Folder and the In-Place Archive

Standard Archive Folder

  • Part of the standard mailbox.
  • Emails are merely moved to another folder.
  • This does not reduce the mailbox's storage usage.

In-Place Archive

  • A separate additional archive mailbox.
  • A separate storage area with 50 GB of storage space.
  • Actually reduces the storage used by the primary mailbox.
  • Appears in Outlook and OWA as a separate archive area.
  • Retains the mailbox's existing folder structure.
  • Archived emails remain searchable and available.

Display in Outlook and OWA

After activation, the In-Place Archive appears in Outlook and Outlook Web App (OWA) as an additional archive area.

The archive is usually displayed as a separate archive mailbox or as “Archive” or “In-Place Archive”.

Archived emails can still be opened, searched, moved and managed.

How Are Emails Archived?

Emails can be moved to the In-Place Archive in various ways:

  • Manually by the user.
  • Automatically using archiving or retention policies.
  • Using Outlook functions and Exchange policies.

The emails remain available within the Hosted Exchange environment but are moved out of the primary mailbox.

Activating the In-Place Archive

The In-Place Archive is activated for each user individually.

After activation, an archiving or retention policy can also be selected.

According to the available information, the following policies are available:

  • 30 days
  • 60 days
  • 90 days
  • 1 year
  • 2 years
  • 3 years
  • 4 years
  • 5 years

These policies determine the period after which emails are archived or processed by the archiving policy.

Note: If the In-Place Archive is not available for your mailbox or if activation or adjustment of the archiving policy is required, contact the administrator of your Hosted Exchange organisation.

Benefits of the In-Place Archive

  • An additional 50 GB of storage space for archived emails.
  • Reduces the storage used by the primary mailbox.
  • Displayed directly in Outlook and OWA.
  • Retains the existing folder structure.
  • Manual or automatic archiving is possible.
  • Suitable when a Hosted Exchange mailbox is nearly full.
  • Avoids moving emails to local PST files.
  • Supports the long-term retention of emails.
  • Archived emails remain searchable and available.

Important Information

The In-Place Archive is not a backup. Archived emails remain within the Hosted Exchange environment.

Do not confuse the In-Place Archive with the standard Outlook archive folder. Only the In-Place Archive provides a separate archive mailbox with its own storage area.
